Fundraising Guidelines from the PABC Treasurer
Please keep in mind I am managing money coming in and out for several coaches along with our own
Booster funds. The more communication and documentation, the better it is for everyone to keep all of the money accounted for and accurate.

All reimbursements will require a receipt (A picture of the receipt is acceptable.) in the amount for which you would like reimbursed for. If the receipt has items that do not qualify for reimbursement (personal items), please highlight or circle the items to be reimbursed and note the total. There will be NO checks written without a receipt.

All deposits will require a deposit form or note of what is being turned in - cash total, check total, team, fundraiser the money is being turned in for and grand total along with a signature of who turned the deposit in. If I do not get a deposit form, the money will be returned to the athletic office for the coach to have a form filled out. Once I have a completed form/note of the deposit I will pick it up and get it deposited to the appropriate account. Please turn in checks/cash as quickly as possible as we do have an issue with checks not clearing after they have been held for an extended period of time.

All invoices for equipment, supplies, fundraisers etc MUST be paid with a check. No invoices are to be paid with cash. A detailed invoice from the supplier is required as well. Invoices can be emailed to me at any time.

Any camp or clinic that a fee is paid to the Booster Club needs a roster showing each participant and how they paid. To be sure all deposits match the number of participants.

Any money brought in from a camp/clinic/fundraiser through the booster club team fundraising account must be turned in for deposit. NO cash is to be kept to be used for future purchases.

We are really working hard to push as much of the fundraising as we can to go through our Booster website - please keep this in mind as you have a fundraiser coming up to allow time for us to be sure we can get it set up correctly on our website. The more we can utilize the website the easier it will be for everyone involved.
